About the Association:

The "Unlimited Friends Association (UFA)" is a social, developmental, and educational charitable institution. Its concept emerged in 2000 through a sense of social, educational, and developmental responsibility toward the Palestinian family. After many community activities executed and achieved through self-efforts in the social and familial field, the institution's idea was expanded and developed, eventually being officially recognized in 2003 under the Charitable Societies and Non-Governmental Organizations Law No. (1) of 2000 and its executive regulations.

Staff Reporting To You: Education and Protection Program Staff

Job Summary:

The main responsibility of the Education and Protection Program Coordinator is to ensure that the project runs smoothly, on time, and within budget. The duties typically involve planning specific parts of the projects, monitoring progress, coordinating meetings, and supervising project team members.

Key Responsibilities:

  • Contribute to the formulation and continuous improvement of the association's educational project strategies, business plans, policies, and procedures.
  • Conduct organizational reviews to identify strengths, weaknesses, and opportunities, and assess the operational effectiveness of new and ongoing education projects.
  • Lead the development of comprehensive annual business plans addressing and providing solutions to strategic educational issues affecting the organization.
  • Write concept notes, complete proposals, mid-term and final grant reports, and any other documents for grants and contracts under the strategic guidance of the Professional Development Program or the Program Coordinator. This includes basic research, stakeholder analysis, data collection and analysis, consultations, narrative development, budget development, and the production of all documents at a high level in accordance with donor requirements.
  • Supervise the implementation of educational and child protection activities.
  • Oversee the implementation of education sector projects, expert consultations, training, and supervision to ensure successful delivery.
  • Effectively distribute tasks among the project team and manage schedules to ensure completion on time according to the timeline.
  • Ensure the preparation of detailed implementation plans and provide necessary guidance and support to the team to achieve timely and high-quality activity delivery.
  • Ensure that all program objectives are met according to the agreed-upon goals and in alignment with contracts with donors, while ensuring integration with other program activities.
  • Ensure the availability of all resources (technical, financial, and human) to implement the various education program projects according to realistic work plans, timelines, and milestones agreed with suppliers and donors.
  • Review designs and plans for education activities to ensure they follow best international and humanitarian practices and comply with relevant policies, guidelines, and local authority regulations.
  • Contribute to preparing education budgets, funding concept notes, and proposals through the analysis of field data and actual costs incurred in activity implementation.
  • Conduct regular field visits to inspect work and organize regular project review sessions using participatory methodologies involving beneficiaries and other stakeholders in the intervention areas to identify and/or verify emerging needs, gaps, and priorities, and communicate them to the Program Manager as part of the program's continuous review and improvement process.
  • Supervise the preparation of high-quality narrative reports for donors on educational activities in a timely manner.
  • Prepare a weekly plan covering all activities expected to be carried out in the coming week.
  • Prepare a monthly report at the end of each month.
  • Ability to manage projects and handle deadlines efficiently.
  • Ability to develop and interpret step-by-step plans and schedules.
  • Monitor project progress, ensure timely preparation of interim reports, contribute to monitoring and evaluation, and assess the impact of implemented programs and projects.
  • Ensure proper project documentation is maintained and available in a timely manner.
  • Support the MEAL team in implementing the monitoring and evaluation system to track progress and capture the impact of projects and make necessary adjustments to work plans if required.
  • Possess organizational skills, task division, and time management abilities.
  • Excellent communication skills with various individuals.
  • Familiarity with risk management systems and quality assurance monitoring.
  • Implement activities in accordance with the association's policies and systems, ensuring compliance with laws and regulations.
  • Foster strong collaborative relationships within the organization and with key external partners and organizations to enhance the quality of thinking and ideas applied to stakeholders' needs.
  • Provide leadership and managerial expertise to support and guide numerous employees.
  • Represent the organization in meetings organized by international development and humanitarian aid organizations in the country.
  • Participate in technical evaluation committees for bids and tenders related to the employee’s field of work or any other committees as requested by the association’s executive management.
  • Undertake any additional tasks and responsibilities required by the nature of the work or as directed by the executive director.

Performance Indicators to Assess Results:

  • Achieving all strategic indicators for the program and implementation plan, including:
    • Financial indicators for the program: such as expenditure vs. planned, grant size, etc.
    • Program impact indicators as outlined in the program document.
    • Addressing internal and external audit comments.
    • Number and quality of developmental initiatives and ideas successfully implemented for the program.
    • Number of project proposals developed and accepted by the Resource Development Department and submitted to donors.
    • Number of media materials (success stories, news releases, etc.) published on the organization’s website.
    • Accuracy of program data on the computerized management system and timely project closure.
    • Adherence to donor reporting deadlines, donor satisfaction with project quality, submitted reports, and continued institutional support.
    • Compliance with the association’s systems and regulations and respect for communication channels.

Role in building and developing the skills of the team under their management


Required Skills and Experience: Education: A bachelor’s degree in humanities, applied sciences, or education. At least 3 years of experience in the field. Ability to work in challenging conditions and under pressure. Proficiency in Microsoft Project and Microsoft Planner. Ability to use project management software and tools such as MS Projects. Previous Experience: A minimum of 3 years of professional experience in managing and coordinating educational and developmental programs/projects. Experience in project management, coordinating programs/projects, and/or providing consulting services. Good knowledge of policies, institutional frameworks, and relevant laws regarding protection, child care, and education. Familiarity with PSEA, Safeguarding, and Education Cluster. Experience in risk management. Experience in writing reports in both Arabic and English. Extensive experience in general management, team building, and development, and writing technical and analytical reports. Experience in preparing and managing budgets. Excellent communication and report writing and analysis skills. Information Technology Skills: Good knowledge of using computerized resource management systems. Languages: Excellent written and verbal communication skills in both Arabic and English.
