Job Description: Vetting Assistant - USAID/WBG Basic Education Activity
Part-Time Position (2 to 3 days per week)

The WBG Basic Education Activity aims to improve educational services for Palestinian children from KG 1 to Grade 6, focusing on strengthening early childhood education, primary education, and foundational skills.
Position Summary:
Creative Associates is seeking a Vetting Assistant to support the vetting processes for staff, vendors, consultants, partners, and any recipients of project funding under the USAID-funded WBG Basic Education Activity. The Vetting Assistant will work closely with the Vetting Officer to ensure that all entities are properly vetted in compliance with Creative and USAID’s Mission Order 21 policies. This role is focused on the administrative aspects of the vetting process, including document collection, data entry, tracking, monitoring vetting statuses, and conducting Reputational Risk Assessments on selected individuals when required.
Responsibilities:
Document Collection & Verification: Assist the Vetting Officer in collecting all required documents from entities (partners, vendors, beneficiaries, etc.) for vetting purposes. Ensure all documents are complete, accurate, and submitted on time.
Data Entry: Perform data entry for online submissions of Partner Information Forms (PIFs), ensuring accuracy and timely processing.
Tracking & Monitoring: Assist the Vetting Officer in maintaining a detailed and organized vetting tracker, monitoring the status of vetting requests and eligibility dates for all entities.
Reputational Risk Assessments: Conduct Reputational Risk Assessments on selected individuals and entities as required by the vetting process. Analyze public information, news sources, and other relevant data to assess potential risks to the project’s reputation and ensure compliance with USAID’s vetting standards.
Communication & Coordination: Assist in liaising with entities being vetted to monitor changes in key personnel or other relevant information. Notify the Vetting Officer promptly when re-vetting is required.
Vetting Renewals: Track the expiration dates of vetting results and notify relevant staff of upcoming renewal deadlines. Assist in processing vetting renewals as needed.
Qualifications Required:
Education:
Bachelor’s degree in Business Administration or related field.
Work Experience:
At least 2 years of experience in an administrative role, ideally in an international development or USAID-funded project.
Experience with document management, data entry, and tracking systems is preferred.
Skills & Knowledge:
Strong attention to detail and ability to manage and track large amounts of information.
Proficiency in Microsoft Office 365 Suite (Word, Excel, Outlook, etc.).
Excellent organizational and time-management skills, with the ability to multi-task and meet deadlines.
Fluency in English and Arabic, with strong written and verbal communication skills.
Ability to maintain confidentiality and handle sensitive information.
Familiarity with USAID Mission Order 21 or other vetting processes is a plus, but not required.
Strong interpersonal skills and the ability to work well in a team environment.
Preferred Qualifications:
Previous experience in vetting, risk assessment, or compliance-related roles, especially in USAID or other donor-funded projects.
Familiarity with the education sector in the West Bank and Gaza is an asset.
