Key Responsibilities

Administrative Support:

Answering and directing phone calls.
Managing schedules and appointments.
Handling correspondence (emails, letters, packages).
Preparing and distributing memos, reports, and presentations.
Office Management:

Ordering and maintaining office supplies.
Managing office equipment maintenance and repair.
Ensuring the office environment is clean, organized, and functional.
Record Keeping:

Maintaining files and records (both physical and digital).
Managing databases and ensuring data accuracy.
Handling confidential information with discretion.
Financial Duties:

Assisting with budget tracking and expense reports.
Processing invoices, receipts, and petty cash.
Coordinating with the finance department on payroll and other financial matters.
HR Support:

Assisting with onboarding new employees.
Managing employee records.
Coordinating staff meetings and training sessions.
Customer Service:

Greeting visitors and clients.
Handling inquiries and complaints in person, by phone, or email.
Providing general support to visitors.

Ability to manage multiple tasks and priorities efficiently.

Communication Skills:

Excellent verbal and written communication abilities.
Professional demeanor in handling communications.
Technical Proficiency:

Qualifications
Education:

High school diploma or equivalent; some positions may require an associate or bachelor’s degree in business administration or a related field.
Experience:

Previous experience in an administrative or office management role is often preferred.
Experience with office management software and tools.
Certifications (Optional but Beneficial):

Certification in Office Management, Administrative Assistant, or similar from recognized institutions
