Job summary

The Logistics Assistant / Guard will be ensuring smooth operations of the events and activities taking place at the Felm Center through playing an active role in maintenance and cleanliness, safety and security, logistics and supply chain, and fleet management.

Main Tasks and Responsibilities

 Logistics and supply chain:

  • To provide logistical support to all staff members for assets required to fulfil their tasks, e.g. computers, vehicles, furniture, telecommunications and stationery etc.;
  • To coordinate and manage the distribution and reallocation of all logistical resources provided, ensuring systems are in place for replacement and repair;
  • To forecast future stock replenishments and to place purchase orders for stock replenishment in the center;
  • To prepare and implement an inspection and preventive maintenance plan for the furniture, equipment, appliances, installations etc;
  • To identify goods and/or services requirements and technically define the requirements to correspond to the process to procure goods and services;
  • To maintain the assets inventory;
  • To produce reports on logistical issues, proposing/recommending changes and improvements to ensure accuracy;
  • To act as the focal point in the establishment and development of the recycling policy, energy saving & ecological friendly policy;
  • To follow up the work of contracted and outsourced service providers and report any diversions to the management;
  • To follow up on the deliveries to the Felm Center;
  • To perform market surveys as required to ensure best value for money, researching and evaluating prospective suppliers in relevant fields;
  • To ensure that storage areas is set up according to standard warehousing principles of cleanness and tidiness;
  • To report any observation that is related to the misuse of the premises and/or assets to the management immediately.

Maintenance and cleanliness:

  • To be responsible for keeping the properties of the Felm Center in adequate and useable condition at all times in what relates to maintenance and service;
  • To create and implement the annual maintenance plan (year clock);
  • To ensure that all appliances – such as the fridges, washing machines, lighting, air con, fire alarm system, elevator etc. – in the conferencing venues and hotel rooms are in working order;
  • To perform simple repairs and maintenance tasks such as for example changing lamp bulbs, minor painting, simple mechanical fixes;
  • To serve as the focal point towards the external service providers to conduct expert level repairs and maintenance;
  • To act as a first responder to emergency calls related to urgent challenges at the premises (e.g. water leakage, emergencies etc.);
  • To conduct general services such as checking the post office, copying keys, running errands, carrying and moving stuff wand furniture with the support of the correct tools.

Security and safety:

  • To ensure that required and necessary conditions are met according to the safety and security standard operating procedures for the Center;
  • To accompany external service providers while on the premises;
  • To control access for persons and vehicles at the time of external events, including at times on evenings and on weekends;
  • To ensure doors and security exits are always locked and are in proper conditions and functioning;
  • To inform the line manager about any security incident or concern pertaining at the Center.

Fleet management:

  • To support the management and operation of a fleet of two vehicles through vehicle maintenance, driving & transportation, insurance and administrative functions.

General Tasks and Responsibilities:

  • To identify and report on lessons learned and best practices within the respective area of responsibility;
  • To contribute and ensure timely reporting on activities within the respective area of responsibility;
  • To take account of gender equality and human rights aspects in the execution of tasks;
  • To undertake any other related tasks as requested by the Line Manager(s).

What is Felm Center?

The Felm Center - located on Shivtei Israel street in central Jerusalem - is the country office of the Finnish Evangelical Lutheran Mission (Felm) in Israel and Palestine. The Center also provides conferencing and accommodation services to local and international visitors, communities and religious organizations. The Center hosts conferences up to 80 persons and provides lodging for up to 20 persons. Felm grounds its work on Christian values and has long traditions of serving the communities in the Holy Land and in the region. The Center hosts events which promote dialogue and co-operation between people from different communities and backgrounds, and thrive to work together for realization of human rights and justice for all. The Center itself represents architecture that has a high cultural value. A team of six staff members supported by external service providers and partners are ensuring the full operation of the Center.

Qualifications and Experience: Essential: Secondary education (High School Diploma); AND 3 years of relevant experience after the secondary education. Desirable: Post-secondary degree or certificate in Logistics, Supply Chain Management, Business Administration, Transport, Engineering, Maintenance or other related field. Knowledge, Skills and Abilities: Essential: Driving license at least B level; Working proficiency in both Arabic and Hebrew, working knowledge of English; Commitment to Felm Center’s work, its values, principles and guidelines promoting peace & dialogue, well-being of all people and religious tolerance; Ability to work in a multicultural environment with colleagues and guests with various national, ethnic, religious and social backgrounds and identities; Ability to work in irregular working hours (including early mornings, evening, weekends), with at least two week-day evening shifts every week; To be available and on-call from home, to react as required to any emergency call out situations; To be able to work independently as well as within a team; Problem solving skills. Desirable: The person should ideally be holding adequate permits to allow movement and access widely within Israel, Jerusalem and the West Bank; Practical experience and readiness to undertake minor maintenance duties; Ability to adapt to changing situations and to tolerate pressure and uncertainty; Awareness of safety and security issues; Experience and basic understanding of vehicles mechanics and electrical systems; Basic proficiency in MS software, especially Excel.
